What you will do:
The Receptionist serves as the receptionist and office support assistant, performing a wide variety of skilled office tasks and procedures for all departments. Ability to accomplish multiple tasks by prioritizing the order of importance and the ability to work independently with minimum supervision.
Here’s a day in the life:
Opens office at 8:00 AM and closes office at 5:00 PM, Monday through Friday
Ensure constant coverage at the front desk and maintain a neat and orderly appearance in the reception/lobby area
In a professional manner receive all incoming calls, giving appropriate information to caller or route caller to appropriate staff; take accurate and complete messages, ensuring their timely delivery; and place calls as instructed
Greet on-site visitors, establish nature of business and route visitor to the appropriate staff
Monitor the fax machine for all incoming information, distribute facsimiles accordingly; send all outgoing facsimiles as instructed
Sort all incoming mail for distribution or pickup
Postage meter all outgoing mail before the deadline for postal pickup on a daily basis
Coordinate the services of UPS, Federal Express, certified mail, or express mail, when required
Central point person for copy, assembly and distribution of documents as requested throughout the corporate office
Ensure office equipment is maintained and operational; coordinating with support services for needed repairs
Research, price and purchase office supplies, office furniture and break room supplies
Makes conference room reservations as needed
Coordinates the use of company cars when needed
Purchase break room supplies, ensure break room items are stocked such as creamer and coffee, and maintain order of the break room
When needed, prep conference room for meetings including making coffee and setting up projector
Perform out of office errands as needed
Must be flexible in daily work schedule to accommodate functions and activities. Overtime may be required during periods of high workload
Maintain company phone list and contact information on SharePoint
Perform all other duties as assigned by the supervisor
Establish and maintain effective relationships with employees, co-op members and the general public
Demonstrate good communication, listening, and inter-personal skills; ability to communicate verbally and in writing
Operate a multi-line phone system
Proficiency with standard office equipment including copiers, computer, fax machine, etc
Ensure social distancing is maintained and frequently sanitize high touch surfaces areas
Provide cross functional support to other departments as needed
Provide administrative support to varying departments and managers as requested
Maintain a professional appearance in grooming and dress, as well as a friendly, professional demeanor
Demonstrate initiative to seek out work when all assigned tasks are either completed or not requiring immediate attention
Ask questions for clarification when given a task or project
Utilize a computer with basic knowledge of Microsoft Word, Excel, Outlook, and SharePoint
Act as a team player and be able to interact with staff at all levels of the company
Knowledge, skills, and abilities:
High school diploma or GED required or equivalent years of experience
Oregon Notarial Certificate
2+ years of experience in general office administration as a receptionist while handling confidential information
